INFORMATION FOR CUSTOMERS IN ACCORDANCE WITH THE GENERAL DATA PROTECTION REGULATION
REGISTER DESCRIPTION
The register description of Eurohostel’s customer register is available both at Eurohostel’s reception and on Eurohostel’s website at www.eurohostel.fi.
DATA COLLECTION
Personal data is collected in accordance with the Personal Data Act when customers make reservations verbally, by phone, by email, on the internet or through resellers.
RIGHT OF INSPECTION
The customer has the right to inspect the information in the customer register concerning them. When the customer wishes to exercise the right of inspection, they must send a personally signed inspection request to Eurohostel. In the inspection request, the customer must state their name, postal address and telephone number. Eurohostel will send a written response to the customer by post within 30 days of Eurohostel receiving the inspection request. The right of inspection is free of charge once a year.
CORRECTION OF INCORRECT INFORMATION
If the customer wishes to correct incorrect information, he/she must submit a personally signed request for correction to Eurohostel. In the request for correction, the customer must provide the correct information in place of the incorrect information and provide his/her name, postal address and telephone number.
RIGHT TO OBJECT
The customer has the right to prohibit the data controller from processing information concerning him/her for the purpose of direct advertising, distance selling and other direct marketing. When the customer wishes to exercise this right, he/she must send a personally signed notification of prohibition to Eurohostel. In the notification of prohibition, the customer must provide his/her name, postal address and telephone number.

Personal data is collected in connection with customer relationship management, customer service, event arrangements, information and marketing communications. The data may be used in automatic information distribution and newsletter service. Eurohostel Oy ensures compliance with the principles of privacy protection and personal data legislation. The data is handled carefully and confidentially.
PURPOSE OF THE REGISTER
The controller processes customers’ personal data for the following purposes
– managing and developing customer relationships
– managing reservations
– payment, payment monitoring, collection and statistics
– marketing the controller’s goods and services
– developing the controller’s business and customer service
– making table reservations for customers’ meals and booking other facilities
– monitoring and analyzing customer interest data and choices and wishes related to accommodation and meals and developing customer service related to these
– registering activities and benefits under the loyalty program
– taking into account the wishes of loyal customers and developing customer service and targeting the offer
– registering the benefits of cooperating companies belonging to the loyalty program
– advertising, marketing and targeting direct marketing of services and products to data subjects
DATA CONTENT OF THE REGISTER
The following information can be collected and stored about customers
– customer information: name, date of birth, customer number, contact information (e.g. telephone and mobile phone number, email address and other electronic address information) for contact, workplace, job title/job description, language, gender, nationality, and billing contact information
– customer feedback information: customer satisfaction information, comments on the controller’s services and other information obtained with the customer’s consent
– booking history and booking author (e.g. information on previously made bookings and future bookings)
– information related to the use of services: e.g. service usage, purchase and cancellation information and information through which retailer the customer has purchased the service
– information related to the customer’s own wishes and choices
– information on the customer’s payment method and payment behavior and billing information
– customer consent to direct marketing carried out by email, text message and other automated systems
– direct advertising in accordance with legislation, information prohibiting distance selling and other direct marketing
– information on membership in the loyalty and similar systems of the controller and companies that have entered into a cooperation agreement with it, as well as information necessary to obtain a benefit included in the system
– loyalty card information, benefits achieved by the loyal customer and benefits given
– information on the use of the controller’s services by card (e.g. overnight stays and purchases)
– hobby and interest information
– other information collected with the customer’s consent
REGULAR INFORMATION SOURCES
Information is obtained directly from the customer orally, by telephone, from internet forms, e-mail, accommodation card, from retailers and from events related to the customer’s desired service reservations and purchases. Personal data can also be collected, stored and updated from the registers of the Population Register Centre and other controllers that provide address, update and other similar services. In customer service situations, calls can be recorded and other communications (e.g. emails) can be saved.
REGULAR DATA TRANSFER AND TRANSFERS
Customers’ personal data is regularly transferred to entities that have entered into a cooperation agreement with the controller and only to the extent necessary. Such transfers include, for example, the transfer of special diet and allergy information to restaurants and accommodation facilities. The transfer takes place mainly in the form of technical records. Customers’ personal data may be transferred to Eurohostel’s marketing register after the substantive connection between the controller and the customer has been severed. Customers’ personal data may be transferred and transferred outside the European Economic Area when it is required to provide the accommodation or other service requested by the customer.
REGISTER PROTECTION
Material in manual form is stored in Eurohostel’s premises, which are locked and monitored. Only those persons employed by Eurohostel who need the information in their work duties have access to the register in electronic form. The register is protected by usernames and passwords, which are managed by the hostel manager of Eurohostel Oy or his/her deputy. The data is located on Eurohostel’s closed network, which is technically protected. Materials containing confidential information will be destroyed appropriately.
